Job Description

Fleet Coordinator – Basingstoke

Salary – £19,500.00 – 30 hours per week.

08:30am to 2:30pm Monday to Friday.

Job Purpose –

The Fleet Coordinator will be responsible for the comprehensive management and coordination of the Group Fleet Vehicles and will require you to work closely with managers and drivers, acting as the primary contact, to ensure the safe and timely deployment of vehicles.

Main Responsibilities:

  • To manage all day-to-day activities including but not limited to fleet queries, amended plans, breakdowns and incidents in an efficient manner to minimise down time
  • To communicate effectively and work collaboratively with other departments to schedule and manage the efficient deployment of vehicles, drivers, destinations and to minimise vehicle down time
  • To identify and maintain good supply chain relationships, managing budgets and ensuring efficiency and best value through all procurement
  • To manage all new and second-hand vehicle procurement, including preparation and disposals of existing vehicles and managing the fit out, sign writing and delivery of new vehicles to strict budgets
  • To oversee the methodical and stringent implementation of fleet checks, driver checklists, servicing schedules, compliance activities and the management and control of fleet budgets
  • To manage and coordinate spare, hire or loan replacement vehicles, breakdown and accident management along with all fuel and vehicle sundry requirements to ensure the deployment of vehicles meets demand
  • To create and maintain accurate records to ensure the timeliness of the completion of key tasks
  • To assess vehicle conditions, through inspecting and managing vehicle presentation and cleanliness
  • To work with managers to facilitate the improvement of company-wide driver engagement practices
  • To carry out physical inspections and track, manage and coordinate servicing, MOT’s and repair requirements
  • To monitoring fuel use and managing fuel levels, fuel pump servicing, fuel fobs etc., as well as all vehicle sundries and peripherals
  • To carry out an annual review of breakdown policies, obtaining competitive quotations and procuring new policies where required and managing breakdown claims accordingly
  • To track mileages, conditions, schedule vehicle renewals, agree new specifications, obtain competitive supply quotations and work with the Group Finance Director to implement funding and finance arrangements
  • Too raise appropriate purchase orders and sign off invoices in line with the budgets set
  • To monitor the Fleet inbox

Compliance:

  • To manage vehicle tracking software, monitor tracker reports, producing reports and working with managers to improve efficiency and safe use of vehicles
  • To undertake regular safety inspections and vehicle data gathering to ensure vehicles condition, safety and performance requirements are maintained to a high standard
  • To manage all vehicle documentation matters such as vehicle policies, logbooks, breakdown cover, road tax, MID insurance records and quarterly insurance declarations
  • To manage all driver compliance matters, such as MOT’s, license checking, driver sight checks, vehicle tachographs and driver age restrictions
  • To work with the Group Finance Director to manage vehicle insurances, assisting with policy renewals and dealing with all insurance claims, inspection, and lifting appliance certification
  • To manage congestion zone payments, low emissions, toll, ferry and other specific travel requirement etc.
  • To oversee the process of ensuring that the organisation’s CO2 compliance is met and to improve processes to reduce emissions and costs associated
  • To deal with parking, speeding, public complaints and other vehicle infringements
  • To arrange and coordinate driver training where required
  • To maintain an accurate fleet asset register
  • To manage the MEO fleet monitoring system and keep up to date with employee licensing requirements

Knowledge, Skills, Experience & Behaviours:

  • Full UK Driving Licence
  • Previous experience in a fleet coordination or other associated vehicle logistics role
  • A basic understanding of vehicle servicing and maintenance
  • Proficient in using the Microsoft Package, in particular Excel and other information systems
